What is your philosophy on process design and systems set-up?

q:

I approach process design + systems set-up with the mindset that your clients are coming to you for personalization/customization, an elevated experience, + to pass off their all-important vacation planning to a trusted expert. They are not just a name on your list nor do they want to be. That is also how I design all the elements to execute your workflows/process. Each step is efficiently impactful +, typically, have areas for customization so each time your client hears from you they feel like your most VIP client + they know you’re always bringing value. 

Will you choose the CRM for me?

q:

I will not choose the CRM for you. You must decide what CRM you will be using prior to booking. This is not because I do not want to assist but because it’s so important for you to select a CRM that works best for you, your comfort levels, your goals for serving your clients, etc. I discuss the differences between Dubsado + TravelJoy here. I also recommend tuning into webinars for the CRMs you’re interested in + generally familiarize yourself with them so you can make a decision that’s best for you. 

What if I want to use a different CRM?

q:

Awesome! There are other great ones out there. I specialize in Dubsado + TravelJoy so I recommend finding someone who does in the respective tool you selected as we would not be the best fit to work together. 

How do I know which tool is best for me?

q:

It’s so important for you to select a CRM that works best for you, your comfort levels, your goals for serving your clients, etc. I discuss the differences between Dubsado + TravelJoy here. I also recommend tuning into webinars for the CRMs you’re interested in + generally familiarize yourself with them so you can make a decision that’s best for you. 

Will you teach me to use my selected CRM?

q:

I will teach you through pre-recorded custom videos on how to use all the elements of the set-up but you will be responsible for generally familiarizing yourself with your selected CRM. 

Do I need to have a process prior to starting? I don’t have one. 

q:

You DO have a process! You just may not have a process documented (aka it’s in your head) + that is ok. We will be designing + documenting this process together - with me designing + you reviewing/approving.

I am not tech-savvy. Do I need to be? 

q:

Utilizing a CRM requires some tech-savviness but what’s most important is a willingness to learn + a can-do attitude. There’s always a learning curve when implementing a new tool into your day to day. I will assist by walking you through your set-up elements in pre-recorded custom videos. You will need to dedicate time to familiarize yourself with the respective chosen CRM through webinars + help center, too. I explain in extensive detail - you have to take the time to learn it. 

What do you expect of me during our project?

q:

Prior to our project start date, you will be required to complete pre-work. This will be “due” to me a week prior to our project start date to ensure we can hit the ground running. From there, I will take the reins in all the designing + implementation. You will be required to provide input and feedback throughout the project when requested. At the beginning of the project a timeline of when you can expect information from me + when I will request feedback by so you can plan your schedule accordingly. All timelines are to be respected and honored. You are also required to be able to respond to all emails within 24-48 hours (excluding weekends). This ensures our project keeps on schedule. If any of these become an issue, it will be grounds for immediate project termination.

Why do you take a limited number of clients?

q:

To best serve my clients. I am not interested in serving the masses. I am not a fit for everyone + vice versa. I take a limited amount of clients to intentionally serve and pour into each individual client I have the honor of serving. Taking a limited amount allows me to ensure this. 

How do you gather my unique business information to consider during the set-up?

q:

This is done through pre-work. It will be sent to your 30+ days prior to our project start date. I will get to know you + your business along with collecting passwords, brand information, what your current process is like, etc. I do require that all information to be considered for your set-up is shared prior to our project start date with the pre-work. This includes any legal verbiage to be added to your respective CRM. If you need this updated, I recommend doing so or working with a lawyer prior to our project. 

What is the process like?

q:

Once your application is approved, consultations are executed, + my calendar opens, you will do the following:
1. Select your start date + complete the set-up proposal to select your package or packages. You will then be prompted to pay the 50% deposit + complete our agreement. 
2. From there, you will be emailed information on what you can expect of our project in more detail. 
3. One month prior to our start date, your project pre-work will be emailed for you to complete. This is how I gather all your unique business information to take into consideration during your project. This is due to me, fully completed, one week prior to our project start date.
4. Once you have completed your pre-work, I will do a thorough review + ask any clarifying questions. If there are a lot of questions, we may choose to schedule a Zoom call. 5. This will all be completed prior to our project start date. 
6. After all pre-work questions have been answered, I will email the initial project timeline. This will include when you can expect to see the first round of canned emails, workflows, forms, etc. + also when I will expect feedback from you. 
7. Once our start date has arrived, I will send a kick-off email with our timeline again.
8. I get to work designing all of the elements such as canned emails, workflows, forms, etc. 
9.Once completed, I will send all elements via email for you to review with direction on how to best provide feedback. 
10. Once your comments + revisions have been submitted, I will make any edits. Once complete, I will send back to you to review in the final revision round. 
11. Once all revisions have been made, I will implement all elements into your chosen CRM. 
12. Once all is implemented, I will create your custom video tutorials + prepare your final presentation. Once complete, your final presentation will be in your inbox along with your final invoice. 
13. I will be there to support you through the next 7 business days as you familiarize yourself + learn your new tool/process. 

How long does the process take? 

q:

A Dubsado set-up takes approximately 4 weeks. A TravelJoy set-up takes approximately 2 ½ weeks. If branded documents are added, they will take an additional 2 weeks. This includes time for design, feedback/revision rounds, implementation, + design of your final presentation. 

Do you offer payment plans?

q:

Yes, definitely! A 50% non-refundable retainer is due to secure your project date. From there we can break up the final payment at one payment of the final 50% or two payments of 25%. The final payment is never due until the final presentation is shared with you.

What is the pricing, inclusions, + exclusions for a Dubsado set-up?

q:

A Dubsado set-up starts at $1797. That includes:

• Set up of general brand settings.
• Design of client portal graphics + set-up.
• Design and implementation of approximately 40 custom-canned emails for all steps directly in your workflow, for scenarios you may need, + ensure all Dubsado Template canned emails are in your brand voice. 
• Design + implementation of three workflows: New Inquiry, Proposal, + Trip Booked. I will provide my professional experience with client experience along with your current workflows to design these. This will include levels of automation. 
• Set-up + implementation of the Dubsado scheduler into your workflows. 
• Design of all forms needed to execute the steps of the designed workflows. This includes but not limited to contracts, supplier contracts, credit card authorization form, passport information form, lead capture, trip review, traveler information, etc. This includes light design work through Canva to ensure your forms are true to your brand. 
• Two revision rounds of all workflow elements + guidance on how to best to give feedback/what to look for when reviewing. 
• Video tutorials on how to utilize the set-up + best use of the elements in general specifically to empower you to make any tweaks/edits needed as you grow within your systems.
• 7 business days priority support upon completion of your set-up to ensure ease of transition into using the tool.

That excludes: 
• Signing up for Dubsado
• Connecting your email
• Connecting your payment processor 
• Domain mapping 
• Any legal verbiage such as a contract + terms & conditions

Need more than 3 workflows? You can add on as many as you would like for an increased price of $150 per workflow. 

A bonus I will assist with if you want but does not affect the price if you wish to take advantage of it is designing a signature for you through Wisestamp. 


What is the pricing, inclusions, + exclusions for a TravelJoy set-up?

q:

A TravelJoy set-up starts at $997. That includes:

• Design of approximately 25 custom-canned emails for all steps directly in your workflow + for scenarios you may need in your brand voice. 
• Design + implementation of two workflows/task lists: New Inquiry + Trip Booked. I will provide my professional experience with client experience when designing these. 
• Design of all forms necessary in TravelJoy to execute the workflows. This includes but not limited to contracts, credit card authorization form, passport information form, lead capture, trip review, traveler information, etc.
• Two revision rounds of all workflow elements + guidance on how to best to give feedback/what to look for when reviewing. 
• Video tutorials on how to utilize the set-up + best use of the CRM in general specifically to empower you to make any tweaks/edits needed as you grow within your systems.
• 7 business days priority support upon completion of your set-up to ensure ease of transition into using the tool.

That excludes: 
• Signing up for TravelJoy

What is the pricing, inclusions, + exclusions for a branded documents add-on?

q:

Branded Documents are a total of $547. That includes:

• Custom design of the two documents: Expectations + Pricing + Welcome Document
• Pre-work with prompts to assist with the writing of the copy for the documents
• Two revisions rounds 
• Access to the raw Canva files for easy future updates and/or editing
• Implementation of the completed documents into your respective workflows. 

That excludes: 
• Copy - all your copy will be shared with me prior to starting the documents. 
• Copy editing - how the copy is shared with me is how it will be added to your documents. 
• Imagery 

Please note, I have access to some imagery, icons, etc. for the documents. I will request that you also share some imagery for the documents, too. That will be a collaborative process.

Here’s a general outline of what you can expect for each document to contain. This may be adjusted specifically to you + your brand.

Expectations + Pricing Document: A title page, a welcome message from you, your bio, about your inquiry process, about your fees/pricing, benefits of working with you, testimonials, your contact information. 

Welcome Document: A title page, a welcome message from you, about your process once booked, your office hours, main forms of communications, values, etc., more about you by using fun facts, FAQs, your contact information.

Will I be able to schedule a consultation with you?

Absolutely! I will open my calendar for one week for consultation calls prior to having the ability to book so if you wish to chat, we can!

How many spots will you be filling?

I will be opening my calendar for 3 process design + systems set-up projects for Q1. I will reopen my calendar in early 2021 for Q2 openings. There is significantly more on my waitlist so if you are interested in securing a spot, I recommend being attentive to the emails I will be sending. I will provide clear details on dates to take note of + when you will be available to secure your spot. 

Is there a deadline to apply?

What happens after I apply? 

q:

I will share more details after your application is submitted but I will review your application, determine if we are a good fit, + reach out with the next steps either way. If approved, one of the next steps is an option to book a consultation so we have an opportunity to chat prior to my calendar opening.
